Border Forest Holiday Park Terms and Conditions

As an owner/ lead guest on our Park, you automatically acknowledge your full agreement with and acceptance of the following Park Rules,Licence and terms and conditions, which must be adhered to by both you and your family/guests. Park Rules apply to all users and customers, including Border Forest Lodges ,Cottages and Camping pod guests and owners of a holiday caravan/ static or short stay tourers on the Park . It is your responsibility to inform all in your party of these.

Some very important information relating to Covid-19 and how it will affect your stay in our lodges and cottages .We are only make up the bedding for the number of people booked and we assume if there’re just 2 of you the double bed is made. In order to minimise risk for our cleaners please ensure you do the following before you leave: Open all windows to ensure air maximum ventilation. Empty all internal bins and remove all rubbish to the outside bins. Please fill the dishwasher and turn it on.  Please turn the heating systems down to 10 degrees Please ensure you leave the lodge/cottage and leave your key in the door by 10.00am latest on the day of departure.The extended cleaning routines that our staff are following mean they need to get into lodges as quickly as possible. Please use reasonable measures to ensure your own safety and ensure you comply with government guidelines at all times.If at any time you suspect you may have Covid-19 you must notify us on 01830 520 259 and return home immediately. If it is not possible for you to return home any additional charges due to your stay being extended and / or future guests being moved to another lodge or compensated will be chargeable to you. Such charges will be at the prevalent rate on our website, or such rate as paid by guests who have been moved and / or reimbursed. For the safety of our staff and future guests, as well as to comply with government regulations.You will appreciate that we cannot allow visitors during your stay for obvious reasons.Thank you for your support and understanding in this.

Arrival times for Lodges and Cottages 

STRICTLY FROM 4pm - 8pm (Reception & Barrier closes)  Your accommodation will be available from 4pm on the day of your arrival. Latest arrival is 8pm when the reception and barrier closes. You will be given one set of keys for your holiday accommodation which has a fob that operates the security gate. This must be returned on day of departure. For all lodges only a security deposit of £100 will be requested on arrival to ensure the accommodation is left in the same condition as it was found. If you think you are going to be later than 8pm please contact the park in advance of your journey to try to make alternative arrangements.  Please note that if your request cannot be met, then the lodge or cottage accommodation will be available for arrival from 9am the following day.
Departure: For Lodges and Cottages You must vacate your self catering holiday accommodation by 10.00am on the day of your departure.  At the end of your holiday you must leave everything in a clean, tidy and undamaged condition.  You are responsible for any damage or loss that may occur during your stay.  We reserve the right to enter your accommodation under special circumstances or emergencies, without prior notice to the customer.

Little Owl for Hot tub

We endeavour to have the hot tub ready for use on arrival but this is not always possible. Please read separate Advice and Guidance for Hot tub users a copy is in all lodge folders. The hot tub must be vacated by 11pm.

For all insurance and licence purposes

The number of people in our lodges ,cottages and camping pods  (including children) must not exceed the maximum capacity of the holiday accommodation to keep in line with licence and insurance agreement’s.Therefore you agree you must not allow more people than the lodge/Cottage states to stay overnight in the property. You cannot have/arrange for visitors to the property without the advance consent of the Border Forest Park management. This includes the number of people in your group & using the lodges Hot tub  (including children) must not exceed the maximum capacity of the holiday accommodation. Only those persons listed with the booking can occupy your holiday lodge. If you do any of these things, we can refuse to hand over the property to you, or can repossess it. Visitors to lodges and cottages that have our permission to be here are to leave their vehicle at the top of the park by the green & leave the park by 6pm. You are responsible for your visitors. Whilst these terms seem strict & boring it is so that there is no mis- understanding between either parties. If you are unclear with regard to any of this please ask. t is made very clear at the booking and confirmation of your stay how many in total are allowed in each lodge/cottage. A maximum of one infant, sleeping in a cot, under the age of 2 years may be accommodated over and above the maximum capacity BUT IS subject to the Parks' discretion. if you do go over the maximum number, we’ll unfortunately have to turn away any extra people at check-in and we will be entitled to refuse you entry or can repossess it, with no refund given.

Tourers/Motorhome/CamperVans & Pod arrivals

There is a £10.00 ‘Fob’ deposit required for Tourers this will be arranged on arrival.
Summer arrival time on day of your booking pitch available from 2pm and no later than 8pm when reception and barrier closes
Winter arrival time on day of your booking pitch available from 2pm and no later than 7pm this is weather permitting please call in advance to check the park is accessible & arrival times.
The park does not accept any new arrivals on Xmas Eve, Xmas Day ,Boxing Day ,News Years Eve or News Year Day. 
Departure of pitches and pod by 12pm. Please dispose of your litter responsibly.

Your age.

On our park and in all our self catering accommodations we do not take groups of under 25‘s or where half or more of the party are under 2 . To make a booking to stay on our park you must be over 25. We accept bookings from families on the understanding that parents are prepared to supervise children and young people on the park and in all accommodations including tourers. You must contact the park or make it clear to your booking agent if you are under 25 so they can inform the management of the park for permission before you attempt to make a booking, as we have the right not to accept it and we may refuse entry to our park on arrival. The lead name on the booking is responsible for the booking and all members of the party. Single sex groups; We do not normally accept large single sex groups on our park.

Visitors

We only allow visitors that have permission to be here and they must leave their vehicle at the top of the park by the green and are expected to leave the park by 6pm. We reserve the right to refuse entry to any visitors and /or ask them to leave. You are responsible for your visitors. 

Pets

Border Forest Park has 2 designated dog walking areas one is at the top of our park with the other directly OVER our bridge along the track at the bottom of the park. And of course doggies can run freely for miles and miles in the forest.
All Dogs (including our own); your dogs must be kept on a short controlled lead or tether at all times,  anywhere on the park this includes the areas around all lodges, Cottages, Pods and all pitches around statics and caravans etc .Our holiday accommodations and pitches can include dogs with a maximum of 2 dogs per accommodation/pitch. Except Puffin Cottage and Little Owl lodge which allows 1 dog max More than 2 is at the discretion of the park owners at the time of booking. Dog mess is nasty, unsightly and a health hazard, all Dog owners must bag and bin their dogs mess anywhere on our park including on the track across the first bridge right up to the red poo bin! If you do not comply with the above you will be asked to leave .
It's important to note for all dog owners that we do not allow guests to leave their pets unattended on the park or in any accommodation/pitch when they leave the park. Some dogs behave differently when in unfamiliar surroundings and being left alone can result in animals becoming distressed, which in turn can cause problems for nearby guests and other dogs. With the exception of registered guide and assistance dogs, dogs and other pets are not allowed in any of the park’s facilities .Owners are responsible for the behaviour of their pets at all times. Owners and guests must comply with any rules, regulations, by-laws or similar of the Park . Permission for any animal may be withdrawn at anytime if the pet is a nuisance, and if you are requested to do so by us the pet must be removed from the Park.
We reserve the right to decline certain breeds of dog so details must be given at the time of booking.  We are unable to accept the following breeds of dogs on our parks , American Pit Bull Terrier,  Fila Brasileiro,  Japanese Tosa, Dogo Argentino

Children

All Children must be supervised whilst on the park and are the responsibility of their parent or guardian during their stay.Never allow children to play near or in the stream/river unsupervised, as there are areas of deep water. Football should not be played anywhere on the main park. A field over the bridge is provided .Please make sure your child/children are wearing appropriate foot wear and do not climb or move the goal posts, report any damage/ accidents to reception at the top of the park. Other ball games should be played away from caravans & Lodges using a soft foam ball.  Kites are not permitted due to the proximity of power cables. Children should not be playing out after 10pm.

Park Animals 

At no time is anyone or your dogs permitted to be in any fenced-in areas with any of the animals. Our animals are pets that have TEETH SO please treat them with care. Please watch children when they are around the animals and never leave them unattended on our park.

Quiet enjoyment of the park      

ABSOLUTE Quiet from 11pm until 7am .
Please respect your fellow guests and keep noise to an absolute minimum especially when entering the park after 10pm If you have to be asked to keep your voices’ down please respect this request or you will be asked to leave! We do not allow any loud music at anytime in keeping with the general quiet nature of our Park. We will not allow large gatherings of guests to partake in any social event, e.g. a barbecue or party, unless it has been organised by the Park or permission has been granted by the Park management. 

Your behaviour; 

We run a quiet family owned holiday park and therefore reserve the right to terminate the booking /of any person/persons whose conduct is detrimental and/or the management considers your behaviour to be offensive, illegal, disruptive or inappropriate to the holiday park or comfort of other visitors. They will be asked to leave.  No refund will be given in these circumstances.

No Smoking, Fireworks, Wipes 

Please note all our holiday homes, Camping pods and our toilets/showers and kitchen area’s are No Smoking Areas please discard cigarette butts responsibly.
Under no circumstances are Chinese lanterns, other fireworks or drones allowed by anyone anywhere on this park.
Do not use bleach anywhere on our park, we have a fragile eco system which will be greatly harmed by bleach .
WIPES BLOCK PIPES   DO NOT PUT  THEM IN OUR TOILETS. 

BBQs

For Lodges , Cottages and Camping Pods   Do not place a bbq anywhere on the decking. An area has been provided, please keep your Bbq off the grass. Dispose of your BBQ safely.
Bbq’s for Tourers  are allowed but must be supported by blocks or frames to avoid damage to land and disposed of safely.
Never use a Bbq inside. Open fires are not permitted anywhere on our park.

Driving:  

NO COMMERCIAL VEHICLES ALLOWED WITHOUT PRIOR AGREEMENT WITH THE MANAGEMENT. We do not accept rally cars and/or rally car trailers etc are allowed on this park. You will be refused entry with no refunds for your booking given. We do NOT have pitches for Trailer Tents
There is a speed limit of 5mph, which must be adhered to. Please note that Border Forest operates a one way system with a security gate at the entrance. Please Respect  Other holiday makers if you are entering the park after 10pm! Vehicles are driven onto the park at your own risk and we are not responsible for loss or damage.
No lorries or other commercial vehicles are allowed to be brought onto the Park. This includes towing vehicles. 
No recreational vehicles can be used on the Park. This includes motorised scooters, electrical or motorised bikes, go-karts and ATVs.
No mechanical or repair work is to be undertaken on the Park. Only ONE vehicle can be parked next to your designated pitch.
Bicycles  Bicycles must be ridden with due care and attention to other guests on the Park. 
In the interests of safety, bicycles are to only be ridden during the hours of daylight.

 Health and Safety   

Please make yourself aware of the nearest fire point. Children must not be left alone in Lodges/Statics/Camping pods/ caravans. Please be aware that during periods of inclement weather certain areas of the Park may be slippery because of factors such as ice and mud. We recommend that you always wear appropriate footwear and tread with caution during these times. 

Your Personal Possessions

You are responsible for your own personal possessions on the park or in your accommodation and we are not responsible for loss, damage, or theft to these. Border Forest Holiday Park does not accept responsibility for any loss, damage or injury that may occur to you or your caravan, car or associated property whilst on the Park, except where such loss or damage has arisen as a result of our negligence of a breach of our duty to you.

Litter

Items such as cardboard boxes must be compressed as much as possible so they take up less room.Where provided, please use the recycling bins for  ONLY PAPER, CARDBOARD AND PLASTIC BOTTLES , NO GLASS.

 Chemical Disposal Point

The contents of chemical closets   must be disposed of by emptying at the disposal points provided. To avoid possible damage to sewage treatment systems on the Site, you must use recommended chemical cleaning liquids only. If unsure please ask at reception. Nappies ,Wipes and similar bulky items must not be emptied into chemical disposal points but must be wrapped in a bag and placed in our normal waste bins.

 Midges 

Can be found across Britain and in particular Scotland and the Border areas .Midges are a part of everyday wildlife here they usually appear in early summer and disappear in the early autumn depending on weather conditions. We recommend that you take any necessary precautions should you visit during this time. Please note no refunds will be given in respect of midges.

 The Countryside Code

Our Park has uneven terrain, farm animals in fields and other potential hazards. Whilst these features enhance the enjoyment of the area, careless behaviour could result in injury. Please be aware that during periods of inclement weather certain areas of the Park may be slippery because of factors such as ice and mud. We recommend that you always wear appropriate footwear and tread with caution during these times. 

Follow the Countryside Code at all times.     Respect – Protect – Enjoy
Be safe – plan ahead and follow any signs. Leave gates and property as you find them 
Protect plants and animals, and take your litter home • Keep dogs under close control, especially if you are walking near fields of sheep please put your dogs on lead.
Consider other people
Kielder Forest is a working environment for the Forestry Commission. On occasions certain areas of the forest will be harvested.
Border Forest Park is not responsible for when, where or the times scales of these works. For further information please call.

 Special Requests or Requirements:

If you have any special requirements or requests regarding your stay with us,late arrival, group requests etc then please notify Hoseasons for Lodges or our Team at the time of booking so that we can do our best to accommodate you.  Unfortunately due to unforeseen circumstances we are sometimes unable to guarantee your request, however we endeavour to do our best to meet these requests as often as possible.

For Holiday Static Home Owners and Seasonal owners with Tourers 

Spare set of keys for your van  must be left at the office; this is for emergency purposes and will not be given out without the caravan owners’ express permission.
Please inform the office of changes of address and telephone numbers to keep our records up to date.
All static homes and seasonal tourer owners are responsible for keeping their own pitch clean and tidy at all times.
Their van is to be washed at least once a year and must be maintained in good working order.
Awnings are to be no bigger than the width of your van with a maximum of no more than 2.3m or 7.6 ft. If the awning is bigger than this you will be asked to remove it. All awnings etc must be taken down at the end of the season without exception!
The use of generators is not permitted. 
Cutting or damaging trees or other vegetation is strictly prohibited and the natural vegetation and conditions of the Park are not to be disturbed. This includes tying ropes to or driving nails into trees.
Nothing, including personal belongings, may be stored underneath caravans. 
Clothes/washing lines are not allowed. 
Tents are not allowed to be placed outside your caravan without prior arrangement from the office.

 Occupancy of your caravan

You may only use the caravan as holiday accommodation and not as your only or main residence. The caravan/static may not be used to accommodate persons in excess of the number of berths contained within the caravan. 
You are not permitted to have any mail forwarded or sent direct to the Park address or use the Park’s address as your main or only address.
If you make it available for use by family they must adhere to our  Terms & Conditions . Owners will accept responsibility for such guests’ conduct on the Park. No teenage or single sex groups under the age of 25 years may use the caravan/Static.
Please make reception aware of any visitors that may be occupying your caravan when you are not.

 Gas Bottles  

Gas is available from the Park ask at reception between the hours of 8.30 am and 7pm
We recommend you have 2 bottles of gas and replace any empty’s so you are never without gas .
The onus is on you to ensure that you have enough gas to last during the times when the Park reception is closed.
There is a maximum limit of two gas bottles per caravan.

 Insurance

Your caravan must be fully insured in accordance with terms of your Licence Agreement.  It is a condition of the Park and law that all caravans are comprehensively insured on a new for old basis and a relevant Certificate of Insurance must be provided. The Park will not liable for any claims for insurance or for any shortfall in insurance settlements.
Border Forest Holiday Park and its staff or agents are not responsible for any loss, theft, damage or injury sustained to any property on the Park. Residents must ensure that all their property is fully insured and secure.

 Flooding

Although there has always been a risk of flooding particularly as we are surrounded by a river it has been a rare occurrence during the licensed season. However in recent winters we witnessed in the North of the country very heavy rainfall. We are therefore even more mindful of the damage flooding can cause and that in the event of the possibility of extreme weather Tourers maybe asked to move from their pitch.

 Caravan & Equipment

Your caravan must be kept in a good state of repair. No ‘For Sale’ or similar signs are to be displayed in your caravan. without permission from the office. Wooden pallets, pieces of timber, empty gas bottles and all other rubbish must be disposed of correctly. All caravans must be fitted with a smoke and heat detector, carbon monoxide detector and fire extinguisher; these must be kept serviced, in good working order and checked regularly. Any heating or cooking appliances used in the holiday home must comply with the appropriate British Standards in relation to construction, installation and ventilation. Any fixed ventilation in your caravan must not be obstructed, blocked over or replaced by closable (hit and miss) type vents.

 External Storage Boxes

You are only permitted to have one metal or plastic external storage box (timber boxes are not permitted) and it must not exceed 120cm high by 160cm width by 90cm depth. You are also strictly prohibited from storing items underneath your caravan. Your storage box must be located at the back of your caravan. If this is not possible, it is to be located on the same side of your caravan as the door.

 Decking, Patios & Exterior Developments

Any and all works including decking, patios and all types of masonry work, fences, slabs or any other type of work that will alter the appearance of your caravan, its pitch or surrounding area must have permission from the park owners BEFORE WORK BEGINS!
Border Forest management understands that you may wish and need to do ‘jobs’ on your statics but these works, especially involving noise must be kept to a minimum during the weekend and not before 9am or after 5pm. No extensive works are allowed between July and August or Bank Holidays. If you are asked to stop please respect this request. 

 Barbecues

A maximum of one BBQ per pitch is allowed. Your BBQ must be stored on the side of your caravan where the door is located.

 No Ball Games To Be Played on the Park.

This is to avoid damage to property, cars or plants and restricts any annoyance to other people staying on the park.There is a small playing field at the bottom of the park over the bridge and a forest!

 Winter Storage

Caravans/Statics should be drained down during the closed season.
All windows, skylights and doors should be locked securely. Insurance companies recommend that curtains are left open and windows not covered over when holiday homes are left for winter storage; also, any valuable items should be removed from the holiday home, or put out of sight.

 Fire Safety In Caravans

It is important you ensure that all the necessary safety requirements are followed in your caravan. 
Ensure that your electrical installation is checked every 3 years by a qualified person.
Ensure that your electrical appliances are checked (PAT tested) annually by a qualified person.
Avoid the use of electrical extension leads or ‘multi-point’ adaptors.
Ensure that your gas installation is checked annually by a Gas Safe Registered contractor and a certificate is issued.
Make sure that smoke/heat detectors are operating correctly and are checked regularly.
Make sure you have fire extinguishers/fire blankets and that they are regularly checked and conveniently positioned.
Make sure that no combustible/flammable items are stored either under or near the caravan. Particular care should be taken with items such as petrol containers and paint.
Arrange furniture so that doorways are kept clear of obstructions.
Provide torches for use in case of a power cut. Make sure that anyone using the caravan knows what to do in case of a fire, e.g. how to raise the alarm, where to assemble, etc.

We endeavour to maintain all services in a fully operational state but cannot be responsible for loss of water/pressure or electricity due to weather conditions or factors beyond our control.You agree that Border Forest Holiday Park will not be held liable for any: Act of God including tempest, fire, flood, storm, pandemics or natural disaster.
War, civil war, sabotage or act of terrorism. Government sanction, embargo, import or export regulation or order. Labour disputes, including strikes, lockouts, boycotts or other industrial action. Failure in the transportation of equipment, machinery or personnel or in the provision of any utility including power, gas, water or communication services. Choice of Law.

 Brochure & Website: 

We have taken great care to ensure the accuracy at the time of publication of our brochure and with the website, however information and prices may have changed by the time you book.  We will do our best to notify you of any changes to, or inaccuracies in any information contained in our brochure or website as soon as possible after we become aware of that change or inaccuracy.  However we shall not be held liable if any facilities become unavailable. These terms and conditions are set by the holiday park owner and we reserve the right to change/amend our terms & conditions at anytime without prior notice.
